Every event has a plan.
The challenge starts when there are 101 of them, covering 129 event days and accommodating 95 guest speakers.
Over six months, we managed for the EU Pavilion at Expo 2025 Osaka a very diverse programme spanning diplomacy, culture, business, architecture, design, science, R&D, sustainability and innovation.
The real complexity wasn't the number of events.
It was the variety!
Different organizers.
Different contributors.
Different objectives.
Different countries.
Different industries.
Different expectations.
And unlike recurring events, there was no existing framework to build upon. Every stakeholder arrived with their own objectives, timelines and way of working.
Drawing on years of operational experience gained through projects such as Belgian Beer Weekend, we approached the challenge the way we always do: by creating structure first.
To support the programme, we developed the EU Digital Calendar and EU Forms, two dedicated platforms built on the foundations of our Event Stacks event management ecosystem.
More than planning tools, they became a shared framework that helped the many different stakeholders contribute to a common programme.
A shared planning environment. Standardized information flows. Transparent scheduling. Controlled registrations. Structured collaboration.
